Ward Management System

Ward Management System, and the Ward Appointments booking service within it, are offered free of charge to the congregations that use them. Using either means accepting what follows.
Software for the leaders of a congregation: a record of who is in the ward and how to reach them, the callings people hold, the Sunday meeting schedule, attendance, and the reports leaders need. Within it, Ward Appointments is a way for a member of a congregation to book a short meeting with a member of their bishopric, and for that bishopric to set out when they are available. The service reads a connected Google Calendar's busy times so that a meeting is not offered at an hour that is already taken, and adds the booked appointment to that calendar.
Members of a congregation whose bishopric has set the service up, reached through that congregation's own website. There is no public sign-up. A bishopric decides who in the ward can be booked, what kinds of appointment are offered, and when.
An appointment is a commitment to another person's time. Cancel through your ward if you cannot keep it.
A ward's own information — who its members are and how to reach them — belongs to that ward and is managed in its Ward Management System. This service reads it and cannot alter it. Deciding who may be booked, and what is appropriate to discuss in a booked meeting, rests with the bishopric.
Connecting a Google Calendar is optional, is done by the account holder, and can be undone at any time from the Appointments screen or from your Google account permissions. What is requested and what is done with it is set out in the privacy notice. If a calendar cannot be read, the service declines to offer times rather than guessing that the hour is free.
A booking is deleted the day after the appointment was due. This service is not a record of who met whom: it is a way of arranging a time. A ward that needs a lasting record keeps it in its own Ward Management System.
The service is provided as it is, without warranty of any kind. It may be unavailable, may be interrupted for maintenance, and may lose a booking. It depends on services outside its control, including Google Calendar and email delivery. Nothing here should be relied on where a missed meeting would cause real harm — confirm important appointments with your ward directly.
To the extent the law allows, no liability is accepted for a missed, duplicated or unrecorded appointment, or for any loss arising from the service being unavailable. The service is free, and this limitation is part of why it can be offered at all.
Access may be withdrawn from an individual or a congregation that misuses the service, attempts to reach information belonging to another congregation, or places an unreasonable load on it.
These terms may change; the date at the top changes with them, and wards using the service are told of anything significant. The service may be discontinued, with reasonable notice to the wards using it. A bishopric may stop using it at any time, which disconnects any connected calendar.
