This Privacy Policy explains how ysa-lds, llc (“we,” “us”) collects, uses, and protects personal information in the Ward Management System (“WMS”) and its appointment-booking feature. We provide these tools to help congregations organize and to let members request appointments with their bishopric.

Information we collect

• Contact and profile information a member or ward provides — such as name, email address, mobile phone number, and details entered on a ward survey.
• Appointment information — the fact that an appointment was requested, with whom, and when.
• Basic technical information needed to operate and secure the service, such as sign-in activity.

How we use information

• To operate ward organization and administration.
• To verify a member’s identity when booking an appointment, by sending a one-time verification code.
• To send appointment reminders, and to confirm with the ward whether an appointment took place.

Text messaging (SMS)

We text only people who have agreed to it themselves, and only about appointments:

• Members who book an appointment on their ward’s website, and agree on the booking form, may receive a one-time verification code and a reminder before the appointment.
• The ward’s on-duty executive secretary, who agrees on a consent screen in the ward’s leader app, receives one message after each appointment asking whether it took place, answered by replying Y or N.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes. Your mobile number is used only to send you the messages described above.

How we share information

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Other information may be handled by the companies that run the system for us, such as our hosting provider, only as needed to provide the service, or where required by law — never for their own marketing.

Data retention

We keep personal information for as long as needed to provide the service and for legitimate administrative purposes, then delete or de-identify it. Appointment booking details are kept only briefly; the lasting record is limited to that a meeting occurred and when.

Security

Access to WMS is restricted to authorized ward leaders through authenticated sign-in, and data is transmitted over encrypted connections.
